You recently received information from us about the transition to the new HumanCapitalCare Absence Portal. The HumanCapitalCare Absence Portal provides a solid foundation for future developments and has been developed in accordance with the principles of privacy and security by design, ensuring that your confidential (personal) data is optimally protected.

To make working in the new system even easier for you, we have added two employer manuals. One explains how to create an account and log in, and the other provides a general guide to the portal.

Frequently Asked Questions

Below you will find several frequently asked questions and answers about the new absence portal. We will continue to expand this list in the coming period.

1. Login
How do I create a password?

You can find the instructions for creating your password in the special login manual for the employer portal on this page.

Are default passwords used when creating accounts in WeCare and the new absenteeism portal, and how is the security of the login process ensured?

Each employer has an employee who holds the role of main user in the absenteeism system. The main user can create new accounts. Once an account has been created, the respective employee receives an email notification. The employee then creates their own password. This password must meet a number of requirements. After creating the password, verification takes place via an authenticator. Once verified, the user can log in with their username and corresponding password.

Wat gebeurt er als ik mijn account niet tijdig (binnen 72 uur) activeer?

Als de link is verlopen kunt u contact opnemen met ons met de vraag om een nieuw account aan te maken. Weet u van tevoren dat uw bedrijf dicht is tijdens de migratie, geef dat graag tijdig bij ons aan.

2. The system
When will the new employer portal go live?

Our customers will transition to the new portal in phases over the coming months. We will inform you in good time when this applies to your organisation.

Do I need to prepare anything?

Make sure your information in the systems is up to date, and deactivate accounts of employees who have left the organisation.

Are instructional materials available?

There are currently two employer manuals available: one login manual and one general portal manual. You can find them on this page.

What happens to my existing data?

You can find relevant information about data, privacy and security in our Trust Centre via: https://www.humancapitalcare.nl/en/trust-centre 

What happens if a consultation has been scheduled for an employee, and that employee is reported recovered by the employer via an integration before the consultation takes place?

When a recovery notification is created, all ongoing appointments are automatically cancelled.

Can my IT security block emails from the absence portal or block the URL?

We do not expect this to happen. However, we recommend that your IT department adds the websites listed below, as well as the email address used, to the whitelist (allowlist):

If I have an SSO (Single Sign-On) connection, will this require additional time when switching to the new portal?

Yes, this will also require adjustments on your side. We will discuss this with you during our meetings. These meetings will be scheduled through your regular contact person at HumanCapitalCare.

Moeten wij als klant van HumanCapitalCare iets aanpassen aan onze bestaande koppelingen vanwege de overgang naar het nieuwe portaal?

Nee. De overgang naar het nieuwe portaal heeft geen gevolgen voor bestaande koppelingen. Deze blijven ongewijzigd functioneren. U hoeft hiervoor geen actie te ondernemen. Ook zijn voor de meeste klanten geen technische aanpassingen of aanvullende overleggen nodig.

Maakt uw organisatie gebruik van een Single Sign-On (SSO)-koppeling? Dan geldt een uitzondering. In dat geval kan medewerking van uw ICT-afdeling nodig zijn. Meer informatie leest u hierboven.

What does the transition to the new system mean for our existing integration with SuccesFactors?

As a customer, you are not expected to experience any noticeable impact. The system that receives the NVS messages from you will remain unchanged, meaning the integration will in principle be automatically migrated to the new platform. 

What functional changes can I expect?

Possible functional changes may include:

  • Changes to appointment and/or document codes
  • The use of a differtent account or password to acces the customer portal
Will I be informed in a timely manner about the exact impact for my situation?

Yes. The details of the potential impact are currently still being prepared. As soon as more clarity is available, we will inform you accordinghly. In the meantime, if you have any questions, please contact your point of contact.

How long before an appointment is an SMS being sent to the employee?

An employee receives a one-time SMS reminder 24 hours before their scheduled appointment.

3. Invoicing
Will anything change in the invoicing process?

The existing agreements will continue as they are. We are, however, working with a new system, which means the invoice will have a different layout.

Is it possible to send customers a paper invoice?

No, we only send digital invoices.

4. Other
Where can I go with my questions?

An email address has been shared with you where you can submit your questions. They will get back to you as soon as possible. If needed, you can also contact your regular contract persons.

Can HumanCapitalCare provide advice on the role of the works council (OR)?

No. HumanCapitalCare cannot provide substantive advice on employee participation matters within an organization, such as the works council’s right of consent, right to be consulted, information rights, or the timeline of a works council process.

These matters are part of an organization's internal governance. The powers, agreements, and working methods of a works council may vary from one organization to another and are not visible to HumanCapitalCare. As a result, we are unable to assess which procedures or timelines apply within a specific organization.

If you have questions about the role of the works council or the appropriate employee participation process, we recommend contacting your own legal department, works council advisor, or an external legal specialist.
